(Social Work)Position Number000364Position SummaryThe Senior Administrative Assistant position providesadministrative support for the faculty within the Department ofSocial Work. The Department of Social Work includes the followingprograms: Bachelors of Social Work ( BSW ), Masters of Social Work( MSW, and Field Education (FE).Essential Job Functions of PositionGreet, assist and direct walk-in traffic. Answer telephone callsand take messages, direct/relay calls/messages as appropriate tofacilitate communication among faculty, students and thepublic.Serve as liaison between faculty, the Chair and students. Provideor obtain information in response to inquiries or specific issuesthat arise, contacting students as necessary to facilitatecommunication.Create and maintain office files. Address and mail requestedinformation to prospective students and other parties. Prepareoutgoing and process incoming mail.Maintain office supply inventory and order supplies as needed.Oversee use and maintenance of office equipment. Initiate repair ormaintenance as needed.Assist with ordering textbooks and desk copies as requested byinstructors following Bookstore procedures to facilitateavailability of textbooks for each semester.Copy, assemble and distribute correspondence, tests and otherdocuments as appropriate, including informational packets to newstudents and internship sites to facilitate program application andparticipation.Create and format documents (manuals, tests, etc.), and grade examsas requested. Review documents, door schedules, and other items asrequested. Type revisions for the clinical manual to updateinformation for users.Review student applications to verify completeness and follow upwith students to obtain missing information/documents.Create, update and maintain student files to track studentprogress.Download degree audits from Banner and update student audit sheetsverifying required coursework is complete, to aid faculty withstudent advisement. Complete audit and certificate sheets foraccepted students. Verify GPA’s meet standards, etc.Enter class schedules into Banner as directed by the Chair.Establish overrides in Banner as directed by course instructors forstudent enrollment. Distribute enrollment pin numbers forstudents.Update program websites as directed by the Chair.Monitor department budget accounts and keep Chair appraised ofaccount balances. Assist with budget preparation asrequested.Perform additional job related duties as assigned or asappropriate.Non-Essential Job Functions of PositionEducation and ExperienceHigh school diploma or GED . Two years of experience providingadministrative support, or completion of a course of study at thepost-secondary level in office management/support and 1 year ofexperience providing administrative support, or college degree andwork experience in an office environment.Preferred: Work experience in higher education or other educationalenvironment. Experience using Learning Management Systems ( LMS).Knowledge, Skills & AbilitiesProficiency in using word processing and spreadsheet software.Proven ability to work independently, proficiency in multi-tasking,and congenial personality.Preferred: Proficiency in using Microsoft Office especiallyMicrosoft Excel.Licenses, Certifications & RegistrationsAdditional Requirements (e.g. Physical Demands)Campus Security AuthorityNoSpecial Instructions to ApplicantThe review of applications is immediate.The interview process requires the completion of skills assessmentsto determine proficiency in the software and skills needed toperform the essential functions of the position.
